Non-Profit Looking for Bike Route Support - Contracted Work

The ALS Association Oregon and SW Washington Chapter has issued a Request for Proposals for a contracted coordinator to help our event staff with Targeted Logistics for Bike Route Support in an effort to make our 2012 Ride to Defeat ALS a success in its inaugural year. The chapter is looking for an experienced cyclist who has worked on route development and has past experience with cycling tour logistics. Work is to occur between February and July 2012. Below is the Scope of Work to be quoted on:

1. Route Development: Full review of existing 25, 50 and 100 mile routes in Feb/March so that The ALS Association may begin permitting process. Develop Re-check and finalize all routes in May/June 2012 for pre-event final approval. Provide maps and cue sheets for 25, 50, and 100 mile bike routes.
Create and coordinate a route marking plan for all three routes using Dan Henry marks, signage and other tools as prescribed by the permitting process for the cities the route travels through and Marion County. The ALS Association will supply all materials for route marking based on direction from contracted coordinator. The ALS Association will recruit all route marking volunteers. This position will train and coordinate the effort of these volunteers and check the accuracy and quality of route marking for the day of the event.
2. Rest Stops: Identify and help secure physical rest stop locations along all routes.
3. Communications: Provide protocol of communication for day-of event for ride logistics only, including key staff positions, volunteers and emergency vendors.
4. Safety: Provide protocol for safety and emergency plan for day-of event for ride logistics only. The ALS Association will secure and train the safety and medical staff.
5. Event Volunteers: Provide volunteer plan for The ALS Association to implement, including ideal recruitment goals and role descriptions. Initial plan delivered early March 2012 for recruiting to begin by The ALS Association. The organization will be responsible for recruiting volunteers; however, this position would help train the volunteers that are committed to route management and on-the-road rider support.
Assist The ALS Association staff in recruiting motorcycle club or Hamm radio group to be day of route monitors. Coordinate these volunteers in the day of event action plan.
6. Day of Event Coordination: Be on site to coordinate route marking, rider and route logistics the day of event.

7. Post Ride: Provide post ride assessment and recommendation report for route and route logistics for future use.

In addition to attending meetings as able, and necessary, with The ALS Association, we expect consistent communication between contracted coordinator and The ALS Association’s Development Team, and Executive Director to achieve the outcomes of the project. This may include providing assistance with the permitting process, volunteer training, and route logistical issues as they arise.
